Research
We started by understanding how employees organise their working day and where the current tools get in the way, using competitive benchmarking, interviews and journey mapping to build the picture.


We used different analysis methods, including:

Competitive benchmarking
We analysed applications and platforms for office-work organisation and workspace booking. We studied user feedback, identifying strengths and weaknesses.

Stakeholder and user interviews
We conducted interviews to understand employee needs, workflows and pain points. The main challenge was creating a single platform that supports different user needs while providing quick access to essential tools, schedules and services without adding complexity.

Mapping the user journey helped identify issues at each stage and possible solutions for addressing them.

Define
Bringing the research together, we defined the core problem: employees needed a single platform that gave quick access to their tools, schedules and services without adding complexity. This framed the priorities for the design — simplifying daily workflows and reducing the number of steps needed to reach key features.
Design
With the priorities set, we moved into design — prototyping the core journeys and building a design system to keep the interface consistent and easy to scale.
Prototyping
The prototype was developed based on insights from user research, focusing on simplifying workflows, improving access to key features and creating an intuitive experience that supports employees’ daily tasks.

Typography and components
Components were developed for specific functionality. In choosing colours, we adhered to the idea of a bright, yet not tiring, palette for the user.



Test
Testing focused on whether employees could complete everyday tasks — booking a workspace, checking a schedule, reaching a service — quickly and without confusion, and the feedback guided refinements to the flow.
